Purpose of the position

As an Executive Secretary, you will provide high-level executive support, ensuring the efficient management of the Branch Manager’s time and communication, while serving as a strategic liaison between the Branch Manager’s Office and various internal and external stakeholders

How can you support us? Here below your responsibilities

• Manage complex calendars, schedule meetings, and coordinate logistics, including internal/external attendees and meeting materials.
• Receive and screen calls/visitors with professionalism; serve as a courteous point of contact for executives, partners, clients, and authorities.
• Draft, format, and review correspondence (letters, emails, memos), reports, and presentations; maintain accurate records and filing (digital and paper) to ensure full traceability.
• Arrange domestic/international travel, optimize itineraries, and ensure compliance with visa/passport requirements and related documentation.
• Prepare and reconcile travel/expense submissions in line with policy and deadlines.
• Organize agenda packs; take minutes/notes when required and follow through on action items.
• Ensure document version control and consistent archiving using approved systems and templates.
• Raise stationery/office‑supply requests; liaise with facilities, IT, and vendors to resolve day‑to‑day issues and support events.

What are we looking for?

• Education: Higher National Diploma / bachelor’s in executive & Secretarial Assistance, Administration, or related field (or equivalent experience)
• Experience: 3-5 years as Executive Secretary, preferably in Oil and Gas industry or multinational company’s
• Languages: Advanced English proficiency; additional languages an asset.
• IT Skills: Microsoft Office 365
• Certification: SAP or similar ERP exposure desirable
• Technical Skills: Executive assistance, document control, travel & logistics, event/content coordination. Excellent writing and formatting skills (emails, minutes, presentations), Strong planning.
• Soft Skills: Strong analytical and research skills, Effective interpersonal and communication, Emotional Intelligence, Organization, time management, prioritization, and follow‑through under time pressure, high discretion and confidentiality.
